EdTech Tip of the Week: Changes with Respondus Lockdown Browser

A setting has been added to Respondus LockDown Browser that changes how students are locked into an exam. Previously, the Respondus LockDown Browser automatically locked students into an exam until it was submitted for grading. This will now be an optional exam setting for instructors, with the default set to off. The new default setting will require students to submit a reason for exiting the exam early, which can then be viewed by the instructor. EdTech Tip of the Week: Go Paperless, Get Organized and Digitized with Nolij

Nolij is a document imaging and file management solution built exclusively for higher education clients. It is available to all UTHSC colleges and units interested in eliminating paper documents and managing their business files electronically. Nolij allows UTHSC users to scan paper files and store them electronically in a secure, centralized location, eliminating the need for physical storage of the original documents and creating highly accessible databases of digitized files.

EdTech Tip of the Week: Try Our New Feature in UTHSC's Campus Survey and Course Evaluation Software

Qualtrics is UTHSC's official survey and course evaluation software. We are currently in the beginning stages of a trial period for a new Qualtrics feature: the file upload question type. The file upload question type is used to give survey participants a chance to upload a file along with their survey response. It gives you the ability to collect rich data that may not be available through standard survey questions. Give the Qualtrics file upload question type a try and let us know what you think in the following survey.

EdTech Tip of the Week: Prepare for the UTHSC ParScore Upgrade

Do you use ParScore to process answer sheets for paper-based testing? The Information Technology Services group is planning an application upgrade for the system on February 13, 2014. We are making an effort to identify everyone in our UTHSC community who uses the ParScore software to ensure all user data is backed up prior to the upgrade and will be accessible after the system improvement. We have a list of current users, but we want to make sure that no users are missed.

one45 is the Official Curriculum Mapping Application for UTHSC

UTHSC has adopted one45 as our official curriculum mapping software. one45 automates curriculum management, scheduling, and reporting within your academic programs. We are currently implementing a staggered rollout of one45, with precedence being given to colleges with upcoming accreditation visits. The application will be centrally funded and supported by the Educational Technology Team for all UTHSC colleges interested in tracking their curriculum mapping efforts electronically.

EdTech Tip of the Week: Prepare for this Winter's Extended Blackboard Downtime

The Blackboard Team will upgrade UTHSC's Blackboard application to Service Pack 13 beginning Monday, Dec. 30 at 10:00 a.m. extending to 5:00 p.m. During this time, Blackboard, including all courses and content, will be unavailable. The upgrade includes added functionality and slight interface changes. No major application changes or modifications to course content will occur.

Your UTHSC Blackboard Team is now completing course enrollments for Spring 2014. After the registration period for your program has ended, contact us with the list of courses that should be populated with students. Keep in mind, Blackboard and Banner are not yet linked. Thus, all course enrollments are done manually. We look forward to offering automated enrollment by Fall 2014. Check out UTHSC's new Adobe Suite!

The UTHSC Adobe Suite was recently upgraded. The update resolved playback and permission issues for Adobe Presenter, expanded the Adobe products available to UTHSC users, and enhanced features and functionality for previously used applications. Here are a few of the new enhancements to the suite:

  • You can now search for UTHSC users by NetID when setting permissions for Adobe Connect meetings and Adobe Presenter content.
  • Redesigned user interface for the latest version of Adobe Presenter
  • Availability of new drag-and-drop question type
  • Link Adobe Presenter Quiz results to Blackboard Grade Center using SCORM output option
  • Microsoft Office 2013 support & Windows(r) 8 compatibility
  • Automatic closed captioning and accessibility support for video recording

Looking for more technology training?

We have new SkillSoft technology training videos that you can view from the comfort of your desk! These videos are free for UTHSC employees and provide short tutorials on a variety of technology topics like Microsoft Office, Adobe products, web browsers, social networking, mobile devices and operating systems like Windows 8 and Mac!

Stop! Do Not Purchase Any Additional Adobe Products without Reading Further

Were you planning to purchase an Adobe product such as Acrobat Pro, Dreamweaver, or Photoshop? Don't make that purchase just yet. UTHSC recently committed to a purchase agreement that provides UTHSC users with many of Adobe's most popular software applications at a discounted price. The cost was funded centrally by the Office of Informational Technology Services. As a result, a large selection of Adobe products including Adobe Acrobat Pro, Dreamweaver, Photoshop are now available for no additional charge to faculty and staff on University-owned computers. Students may use these products in the campus open-access labs for free.

If you receive such an email, DO NOT click the links or enter your credentials. These emails are NOT from any UTHSC entity. Official communication from the Blackboard Team or ITS department will never ask you to enter sensitive or confidential information via a website or email. Enrollments into Blackboard are still done manually by the UTHSC Blackboard Team. There is no Banner integration with Blackboard. The two systems are separate.

Before sending an enrollment request, please be sure all courses have been archived and the previously enrolled students have been removed. A tutorial on archiving your course and removing students can be found at our Blackboard Documentation site.

Beginning September 2013, Qualtrics will become the official end-of-course evaluation and survey software tool for UTHSC. Our campus will discontinue the use of CoursEval and the university-sponsored Survey Monkey account. With over 95 question types, an easy-to-use online interface, and a record of success in academic and research communities, Qualtrics is a powerful survey tool that will give our faculty, staff, and students added functionality and flexibility in creating, distributing, and generating reports for evaluations and surveys. This summer, all UTHSC classroom computers will be updated to run Turning Point 5.2.0. This latest version of Turning Point features a newly redesigned interface and added functionality. We strongly encourage all faculty and staff who are currently using Clickers or plan to use them in the future to attend one of our scheduled training sessions or to setup a custom group or one-on-one training session prior to using the new version with students. Minor Blackboard Upgrade Summer 2013 - Downtime Required

The UTHSC Blackboard system will be upgraded to Service Pack 11 on June 21, 2013, from 10:00 p.m. to midnight. During this time, Blackboard will be unavailable to all users. The upgrade comes with new and improved features, as well as slight interface changes. It is important to remember there will not be any major changes or losses in current functionality.

The Scoop on MOOCs (Massive Open Online Courses)

The continuing popularity of massive open online courses (MOOCs) prompted the Educational Technology team to investigate this hot topic in higher education. We have produced a brief report detailing our findings and conclusions on MOOCs. Spending Hours Creating Tests? Who has time for that? Try this...

You can build and edit Blackboard tests and surveys in Microsoft Word and Excel. Respondus 4.0 Campus-Wide is a thrilling tool for creating and managing exams that can be printed to paper or published directly to Blackboard. Exams (and surveys) can be created offline using different environments, including Plain Text, Rich Text, Microsoft Word, and comma or tab delimited spreadsheets. Respondus can save you hours of assessment creation time. Everyone has time for that.

Want to encourage academic honesty?

Respondus LockDown Browser is a custom browser that locks down the testing environment within Blackboard. When students use Respondus LockDown Browser, they are unable to print, copy, go to another URL, or access other applications. Because students are "locked" in, assessments cannot be exited until submitted by student users for grading. Respondus LockDown Browser is available for both Windows and Mac.

No Automatic Blackboard Enrollment

There has been some confusion about enrollments for Spring 2013. Enrollments for Blackboard courses are still done manually by the UTHSC Blackboard Team. We do not currently have a Banner integration with Blackboard. The two systems are separate.

End of Term = Recycle Your Blackboard Course

The end of the academic term marks the time to recycle your Blackboard course. The archive and recycle process allows you to save course content (including the full grade center) and create a course backup for future grade disputes or in case your course content is accidentally removed.

Securing Your PowerPoint Content with Adobe Presenter

Are you concerned about the security of your PowerPoint presentations? Let Adobe Presenter help secure your content. Presenter can package your presentation in a web-based format that cannot be edited by others. The software also gives you the option to require users to login with their UT NetID and password to view your content.

Using Web 2.0 Tools to Connect, Communicate, and Engage

Whether in a face-to-face class setting or an online class setting, connecting with students is critical. Web 2.0 tools such as Jing, Screenr, and Screencast-o-Matic offer new opportunities in engaging and communicating with students. Jing, Screenr, and Screencast-o-Matic are free tools that allow you to easily capture screenshots from your computer as well as record and share audio. Using these tools, multimedia can be created and easily shared with your students and can even be embedded into announcements that are posted within a Blackboard course.

CoursEval - the Official UTHSC Survey Software

CoursEval is software that specializes in end-of-course surveys and evaluations. However, CoursEval has the flexibility to facilitate a variety of different kinds of surveys and questionnaires, including administrative assessments, elections, promotion and tenure feedback, pre-/post-tests, customer or patient satisfaction surveys, and more. CoursEval surveys can be opened to any group of UTHSC faculty, students, staff, or external affiliates. Surveys can be setup to make feedback completely confidential. What Respondus Lockdown Browser Can Do for You!

Most students don't cheat. But those who do, spoil it for the rest. That's where Respondus LockDown Browser can help. It's a custom browser that locks down the testing environment within Blackboard.
While using Respondus LockDown Browser, students are unable to:

  • print or copy tests
  • open other applications or visit other websites, including search engines
  • use instant messaging to communicate with classmates
  • access other areas of the online course
  • exit the test until it is submitted for grading

Respondus LockDown Browser increases instructor confidence in online testing. Students like it too, especially the honest ones. Available for both Windows and Mac.

On-Demand Student Feedback with Turning Technologies

The Turning Technologies audience response system allows UTHSC instructors to pose a variety of questions to students and receive immediate feedback. With this fall's introduction of ResponseWare, technology that allows students to use their phones, tablets, and other mobile devices as audience response tools, instructors are no longer limited to multiple choice and true/false questions. This innovative technology allows students to answer fill-in-the-blank, free-answer, and essay questions at ease. Using Web 2.0 Tools to Connect, Communicate, and Engage

Uploading Content to Course Menu, not Content Collection

As a Course Director, you will probably upload several pieces of content for students to view. Remember that using the Content Collection in the Control Panel usually means the students will not see it. It is easier to upload content using the Course Menu. If students are not meant see the material right away, simply make it unavailable or make it Date Restricted.

Recycling Blackboard Courses and Summer/Fall Enrollment

As we come to the end of the semester for many of you, we want to remind you to recycle your Blackboard course for reuse. The course recycle instructions show you how to back up your Blackboard course and remove the old students. These steps are important for making sure you have a record of your course and should be performed before a course is re-used. You should only recycle your course after the term ends and grades have been finalized.

Detailed instructions are located on our Blackboard tutorial site. The entire process takes only a few minutes and ensures that you have a valuable copy of your materials that could come in handy should you delete something by mistake, need to review student grades during a dispute, etc.

Once you have performed these steps, your course then will be ready to use again. Email bb@uthsc.edu to request your new enrollment when ready.

After 12 years of service to the UTHSC community, Keisha Z. Houston is relinquishing her role as our campus Blackboard Administrator. Bb9: Q&A

Here are a couple of questions that we have been asked often since the upgrade:

Q1: Why can I no longer see the whole left side of my Bb screen (i.e. Course Menu/Control Panel)?
A1: You have collapsed that area. To get it back, click the small right-pointing arrow located in the far left of your screen. That will bring it back.

Q2: How do I download my Grade Center to add grades from an outside spreadsheet?
A2: That functionality has moved to its own area. From the Grade Center, click on the "Work Offline" button, then select "Download".

Extended Downtime Reminder

Blackboard went offline Tuesday, December 20 at 5pm. During the downtime, you will not be able to log in or access any of your Blackboard content. When the system is available again on Saturday morning December 24 at midnight, you will have access to the new version.

Spring 2012 Blackboard Course Help

In an effort to help you better prepare your Spring 2012 Blackboard courses, here are a few pointers:

  • REDUCE: If you are the *course director* of Blackboard sites that are no longer in your curriculum and you would like those courses removed, send us the list so that we can remove them from the system. (BONUS: It will * REDUCE * the number of courses in your course list.)
  • REUSE: Instead of requesting a new site each time the course is taught, REUSE the course that was used when the course was previously taught. We can verify the course number and name if necessary.
  • RECYCLE: Archive the course and save it to your computer. This will be your copy of the course should you need it in the future. RECYCLE the previous group of students out of the course. These steps can be done by following the End of Course Checklist: http://courses.uthsc.edu/kb.php?id=24.

On The Road to Spring 2012 and V9.1

In order to make your transition to our new Blackboard version AND the Spring semester a little easier, here are a few things to make sure that you know and DO before then:

  1. *DO NOT* add any new data to the test box (bbnine.uthsc.edu). Build your Spring courses in the current Blackboard - the one you are already know well.
  2. *DO* archive your sites and save them to your computer (Archive Your Course: http://courses.uthsc.edu/kb.php?id=24). This creates a copy of your entire site and is a backup should it be needed later.
  3. *Do Not* create any new content on the test box (https://bbnine.uthsc.edu/) in hopes that it will remain there after the upgrade - it won't.
  4. *DO* remove your previous group of student users from your courses that you plan to use for Spring 2012 (Remove the Students from the Course: http://courses.uthsc.edu/kb.php?id=24)

Preparing Your Spring Courses

With our Blackboard upgrade coinciding with the end of the fall semester and the beginning of the spring semester, we would like to provide you with a few tips to help you better plan your Spring courses.

  1. Build your courses (adding/modifying content, etc.) in current Blackboard. Work in a familiar environment. Do not wait for the upgrade to begin to make changes.
  2. Remove the previous students. (See "Remove the students from the course" section of the End of Course Checklist: http://courses.uthsc.edu/kb.php?id=24).
  3. *Do Not* create any new content on the test box (bbnine.uthsc.edu) in hopes that it will remain there after the upgrade - it won't.
  4. Let me know when you have done these things and are ready to have the current students enrolled into your site.

Blackboard Timeout

For those of you that have logged on and are working on the new Blackboard Version 9.1 TEST environment, please be advised that anything you newly create or modify on the TEST box will *NOT* be carried over during the upgrade. While it is okay to create test data, please understand that none of that will be available to you after Dec. 12th.

Blackboard Timeout

As a reminder, Blackboard will time out your session if there is a long time span between you opening an item/test and submitting that item/test. If you need to type a long response or explanation into Blackboard, please follow these steps:

  1. Type that information into a plain text editor (i.e. Notepad)
  2. Do a spell and grammar check
  3. Save that document
  4. Copy and past that info from the editor into Blackboard
  5. Sumbit

Accessing Blackboard Content on an iPad

Are you having trouble viewing Blackboard documents on your iPad? If so, try opening the content in a new page by:

  1. Instead of simply tapping the link to the document, tap-and-hold the link.
  2. After a couple of seconds, you are presented with a list of options for the link. Choose the "Open in New Page" option.
  3. The content will be opened in a separate browser window. You should be able to view the document in its entirety.

Blackboard Courses for Fall 2011

Unlike Fall 2010, we will not be creating any new courses for sites based on the Banner naming/numbering format. The Blackboard team highly recommends that you use the course site used *prior* to Fall 2010. Any course that has a semester or year designation is not the one to be used.

If the older course does not contain the most current or accurate data, you should remove the old data (Control Panel -> Recycle Course -> Select areas to delete; Submit) and copy the content from the Fall 2010 course.

Respondus LockDown Browser Updates

The "Minimum Version Date" on the LockDown browser has been updated to support recent patches. This ensures that the user is running a copy of LDB that is newer than that date. If a student is using a version of LockDown Browser that is older than 4/2010, they will be prompted to update the software at startup. Additionally, they will also be prevented from accessing the exam until a newer version of LockDown Browser is used.

End of Course Checklist and Summer/Fall Enrollment

Weighted Grade Calculations

If you are weighting grades to calculate the final grade in your course, please remember that Blackboard calculates that information exactly as you enter it. To ensure accuracy, verify:

  1. the category of each column
  2. the weight of the item/category
  3. the formula to hand tally the weighted grade of each item/category: (total points received/total points possible) * weighted percentage

Removing Instructors

If you are listed as an instructor in a Blackboard course, have you received an error when trying to remove another instructor? Does it tell you to contact the System Administrator for assistance? If so, there is a workaround in removing that instructor that does not involve you contacting the Administrator. First, modify the user's role in that course
(http://bbhome.uthsc.edu/kb.php?id=111). Second, now that you have changed that user's role, you can now remove them.

Why is my Blackboard item so badly formatted?

If you pasted from Word, any Office product or any word processing software, Blackboard does not display that pasted information well at all. Not only can the formatting be off, but copying from Word to Blackboard can also cause the document to be corrupted to the point that it cannot be opened by some users. Additionally, it can cause corruption to the entire site. This, sometimes severe, corruption is caused by the formatting code of the software you from which you are copying.

To prevent this from happening, it is ∗HIGHLY∗ recommended that you never copy from anything to paste into Blackboard. Instead, copy that information into a plain test editor (Notepad on the PC or TextEdit on the Mac) first, and then copy it from that editor into Blackboard. You can then use the Blackboard text editor functions to format that text.

Blackboard Tip - Attempting to Enroll A User That Is Already Enrolled

Have you experienced the issue of attempting to enroll a user that you ∗know∗ has a Blackboard account, but you get an error message stating that user cannot be found? If you know the user has an account, this is Blackboard’s way of telling you that user is already enrolled in that specific course.

Instead of using the Control Panel − Enroll User steps, instead go to the Control Panel − List/Modify Users and search for that user. This will show the user already enrolled. When the user appears in the search results, you can then modify their status if needed.

Do you have users that you wish to enroll in your course, but the available roles (http://bbhome.uthsc.edu/kb.php?id=112) do not provide enough restrictions? If you do not want them to have access to the Control Panel of your course nor do you want them to show in your Grade Center, you can add them as a student and then hide them in the Grade Center (http://bbhome.uthsc.edu/kb.php?id=139).

The role of student does *not* give them access to your Control Panel. When you hide them in your Grade Center, they will *not* be listed if you should download/upload grades from an outside spreadsheet.

Following these steps should give them the limited access you need them to have.

The UTHSC Blackboard server was recently upgraded to version 8.0.494.0. With this update, Firefox 3.6 is now a supported browser (http://bbhome.uthsc.edu/kb.php?id=36). Also, the Bb Mobile phone application can now be used (http://bbhome.uthsc.edu/kb.php?id=138). Lastly, updates to the Respondus Building block were also made.
