Document Imaging & Management Services at UTHSC

Document imaging and management services facilitate the electronic storage of documents and use of the data included in those documents. Nolij, the current document imaging and management vendor for UTHSC, is part of Perceptive Software, a Lexmark company. Services offered at UTHSC include the following:

  • Document imaging and retrieval: This set of services enables offices and departments to scan in documents for digital storage in the UTHSC document management system for archival and/or active-use purposes. Benefits include more efficient document storage, retrieval, and distribution as well as data backup. Services per office/department include the following:
    • Needs analysis for document management
    • Setup and administrative support of folder structure for scanned documents, including folder permissions document indexing (to facilitate easy search and retrieval)
    • User training and support on scanning, searching, and retrieving documents, including best practices for ensuring document quality during scanning (NOTE: Each office/department must provide its own scanner(s) and personnel to scan documents.)
    • Data backup of stored documents
  • Business process automation: This set of services enables offices and departments to electronically execute business processes previously done manually involving paper documents stored in the UTHSC document management system. Benefits include increased work efficiency, streamlined document exchange, and workflow auditing and tracking for business processes that include multiple users and/or offices. Services per office/department include the following:
    • Business process analysis (includes implementation planning and requirements gathering)
    • Development and implementation of electronic workflows that replicate and replace manual business processes
    • Development of forms that facilitate business processes and data entry (as necessary)
    • User training and support to implement workflow and forms
  • Data search and retrieval for stored electronic documents: This set of services provides offices and departments with access to documents stored in the UTHSC document management system while working in other university applications, such as the student information system (ie., Banner) or the human resources information system. Benefits include increased work efficiency and productivity. Services per office/department include the following:
    • Needs analysis
    • Software client installation
    • Development and support of customized search templates
    • User training and support to implement search templates and use software client
